Administrative field locking in LetterMark 5.x

Preface

It is often beneficial to only allow editing of specific fields of a users profile. This is often required to ensure the information provided on LetterMark enabled emails meets the quality standards of your organization and to ensure the data is kept synchronized with internal records.

This is facilitated in the LetterMark 5.x system using Field Locking to lock changes to user profiles to organizational administrative accounts.

Types of field locking

There are 3 types locking provided by the LetterMark system.

Type Purpose
Editable (Unlocked) This is the default setting. This allows each individual to view and edit their own profile
Fixed (Locked) This settings allows an individual to view the setting, but not change it. Changes must be made by your organizations LetterMark admins
Hidden Some fields may be marked as hidden. When set to hidden the field is not displayed to the user on their profile page and it can not be changed. The value of hidden fields can still be used in templates and graphics. Private data should not be stored in hidden fields unless special care is taken to ensure the field is never used in any graphics, templates, vcards or other elements of LetterMark which are available. The LetterMark system does not prevent this data from being retrieved using these other methods.

Changing the field locking for your organization

To change the field locking for your organization:

  1. Log in to the LetterMark Administration System.
  2. Click on Account Info in the blue navigation bar.
  3. Click on Edit Field Locking in the left side panel.
  4. Change the field locking as needed.
  5. Click the Update button to save your changes.

Your changes will take effect immediately for all users when the Update button is clicked.

NOTE: The value of a field will not be changed due to a change in the field locking status.
