The steps for setting up a new client with LetterMark service are outlined below.

Pilot Program

The LetterMark Pilot Program allows up to 10 people to use LetterMark email for 30 days, free of charge. This “try before you buy” program provides your company ample time to see how LetterMark email will transform your plain text email into a powerful marketing and branding tool, and gives an opportunity to see how your other applications will work with LetterMark, before you purchase the LetterMark service.

What is included in the LetterMark Pilot?

Templates

Our designers will create 3 interactive templates (described below) that incorporate your company logo and website links. The Pilot templates allow you to experience LetterMark email and determine feature set. These template designs can be further customized to fit your marketing department’s requirements for your implementation of LetterMark.

  • Note Template – The Note template features your company logo and a “From the desk of” (name) statement, which links to your v-card.
  • Main Template- Features your company logo and a navigation bar that links to the company web pages.
  • Text Template – A plain text signature.

Software

Access to the LetterMark client software will be provided for each of the pilot group members. For information on installing the software, please see the LetterMark Getting Started Guide.

LetterMark.net

Access to the LetterMark.net administration site will be provided for the company administrator. For information on services available on the administration site, please see the LetterMark 5 Administrator Guide.

Software Approval

During the Pilot Program, the client's IT staff should test all aspects of installation and use of the LetterMark software. This includes compatibility with other applications, installation procedures and usability. Our staff will work closely with the members of the Pilot Program to make sure that they have all available resources and to answer any questions.

Template Creation

Our design staff will work closely with the client's LetterMark administrator and marketing coordinator to create the final templates. The templates can be completely created by our staff, created with graphics provided by the client and uploaded by our staff, or created by the client. Design Approval

The client's Marketing and IT staff should review and test all aspects of the LetterMark templates. This includes design considerations, URL links, and email client compatibility. Our staff will work closely with the Clients representatives to answer any questions and finalize the template designs.

User Upload

Before uploading users, our staff will work closely with the clients LetterMark administrator to determine how the users should be organized. Within the LetterMark system, users are grouped in two ways:

Location

Each user is assigned to exactly one Location. A company can set up as many Locations as they require. The Location that a user is assigned will determine the address that appears on the user's templates. For more information on setting up Locations, please see the Setting Up Locations page. Users that work from more than one Location should be assigned to their main Location and our staff will work with you to determine the best method of displaying the second location's address on the user's template.

Template Group

Each user is assigned to exactly one Template Group. A company can set up as many template groups as they require. The Template Group that a user is assigned will determine the templates that the user can access. For more information on setting up Template Groups, please see the Setting Up Template Groups page.


The client's LetterMark administrator will provide our staff with a spreadsheet of all user information, including the Location and Template Group designations. Our staff will upload the user information to the LetterMark system. Additional users can be added later be either RTS staff or the client's LetterMark administrator. Installation

Our staff will work closely with the clients IT staff to determine the appropriate installation plan. Installation is highly customized based on the client's environment and LetterMark feature selection. Training

Our staff will work closely with the client's LetterMark administrator to determine the appropriate training plan. Training is highly customized based on the client's administration infrastructure and LetterMark feature selection. Training can include, but is not limited to, administration training, design training, train the Trainer courses and end user training.
